1. Terms of Booking
1.1 Reservation Confirmation
A reservation is confirmed upon receipt of a deposit as outlined in the selected booking policy. By confirming a reservation, guests agree to abide by all terms and conditions stated herein.
1.2 Booking Policies
We offer two primary booking options:
Non-Refundable with Flexible Dates: Requires 100% upfront payment at a discounted rate. Reservations are non-refundable but may be rescheduled up to 72 hours before check-in, with a maximum of two date changes per reservation.
Flexible & Guaranteed: Requires a 50% non-refundable deposit at the time of booking. Free cancellation is available up to 4 days before arrival. Deposits can be transferred to another booking within 12 months, provided sufficient notice is given.
Group bookings require a 30% deposit to confirm and block dates, with the balance payable in installments. Full payment is required for bookings made less than 30 days before arrival.
1.3 Payment and Security
Akasha does not store credit card details on our servers. All payments are processed via secure third-party payment gateways.
For bookings made through third-party platforms (e.g., Booking.com, Airbnb), guests must adhere to the terms and conditions of the respective platform. Akasha is not responsible for disputes, errors, or refund policies governed by third-party platforms.
All prices listed are inclusive of applicable local taxes.
2. Check-In and Check-Out
Check-In: From 3:00 PM. Early check-in is subject to availability and may incur additional fees.
Check-Out: By 12:00 PM. Late check-out is subject to availability and may incur additional fees.
3. Housekeeping
Housekeeping services are provided daily unless otherwise stated in the rate description or unless the guest requests not to have housekeeping service on particular day(s) of their stay. Linens are replaced every three days.
4. Smoking Policy
Smoking is strictly prohibited throughout all public areas and guest rooms. The use of e-cigarettes is also prohibited in both public areas and guest bedrooms. Violations of the smoking policy may result in a deep cleaning charge.
5. Special Arrangements
While every effort is made to fulfill guest requests, we cannot guarantee special arrangements, and failure to do so will not constitute a breach of contract.
6. Personal Information
Akasha Retreat processes personal information collected from guests for the purpose of providing hotel and accommodation services and providing information about products and services we offer. We will not sell this information and will only disclose it to other companies within the Akasha Retreat group and any suppliers we engage to process data on our behalf.
7. Video Surveillance (CCTV)
For the safety, security, and protection of our guests, staff, and property, our retreat is monitored by video surveillance systems (CCTV), installed in both common indoor areas and external zones of the premises.
The purposes of using the CCTV system are:
- Ensuring the safety of all individuals within the premises, staff, guests and facilitators.
- Preventing and detecting unlawful acts or security incidents
- Protecting assets and infrastructure
The recorded footage is securely stored and accessible only to authorized personnel. It may be shared with competent authorities in accordance with legal obligations.
Data collected through the CCTV system is processed in compliance with Regulation (EU) 2016/679 (GDPR) and Romanian Law no. 190/2018. Video recordings are retained for a limited period, strictly necessary for the purposes of collection, unless further retention is required for investigations or legal reasons.
By entering our premises, visitors and employees acknowledge and consent to the use of these systems for the purposes stated above.
8. Activity Programming and Facility Availability
We reserve the right to modify or cancel scheduled activities, such as yoga sessions or hiking excursions, depending on numerous factoprs but not limited availability of facilitators, weather changes, demand changes. A reservation for accommodation does not guarantee participation in additional activities offered by the retreat. Access to facilities like the spa, sauna, and jacuzzi may be adjusted based on operational needs and guest demand.
9. Remote Location Considerations
Akasha Retreat is a boutique 11-bedroom hotel situated at 1000 meters altitude in a remote village location. Due to our unique setting:
- Water supply is sourced from our own well located 250 meters down the valley, which may result in occasional fluctuations.
- Heating is dependent on gas deliveries, and there may be rare instances of temporary outages.
While we strive to resolve any such issues promptly, guests should be aware of these conditions inherent to our remote location. Booking a reservation at Akasha constitutes an understanding and acceptance of these circumstances.
10. Changes and Cancellations
All requests for changes or cancellations must be submitted in writing to book@akasharetreat.com. Guests may also manage bookings via their Pyn booking account. All rebookings or rescheduled dates are subject to availability and are not guaranteed.
11. Disputes
By making a reservation with Akasha, guests agree to the terms outlined here and acknowledge that all disputes will be handled in accordance with our policies.
